Uploading Slides and Video Clips

Uploading Slides and Video Clips in Webcast Elite

Up to 10 PowerPoint slide decks and 20 video clips may be uploaded for each webcast.  All slides and video clips will appear in the Storyboard Organizer where you will have the ability to rearrange the presentation elements.

Important:  The first slide in the first slide deck uploaded will always display when the console launches, even when a new slide is moved to the first slot. This is the platform default behavior and cannot be altered.  You will need to make sure that the first slide uploaded into slot 1 is the slide you want to display first. If you wish to change out the first slide, simply add that initial slide to the first slide deck and re-upload.

Uploading Slides

Use the Upload PowerPoint button to upload a PowerPoint slide deck (.ppt or .pptx). 

Once uploaded, the conversion process may take several minutes depending on the file size.  Each PowerPoint deck should be 50 Mb in size or less. 

Note: If there is an error when converting the PowerPoint deck, an alert will display asking you to upload the slide deck again. Note that a similar alert will also display within Elite Studio.

 It is okay to leave the page during the conversion process once the upload has completed.

As a best practice, slides should be finalized and uploaded at least 24-48 hours before the live webinar.

To replace an existing slide deck, click the Replace link.

Uploading Video Clips

Use the Upload Video Clip button to upload a .mp4 file from the Slides & Video Clips page.

Use the Add Clips button to add additional video clips.

Video clips should be 2GB or less.  You can find additional video specs here!

Corrupted or Damaged PowerPoint Files

If the uploaded PowerPoint file is corrupted or damaged, the system will send an email to the primary account email address and then re-upload the PowerPoint in a flattened state.  Flattening the slide deck will automatically remove animations.  If you wish to keep the animations, you can fix the slide deck in PowerPoint and re-upload the slide deck.  If you need help identifying the issue(s) with your slide deck, please submit a case for technical support and attach your slide deck to the case.  

Important:  If your PowerPoint does not upload as expected,  please do not continue to attempt to upload your PowerPoint as this will exacerbate the issue and prolong the time it takes to reach a resolution.  Please submit a case for technical support and attach your slide deck to the case so our team can assist you.

 

Aspect Ratio

To prevent display issues, the aspect ratio of the slide decks and video clips should match the aspect ratio of the Slides engagement tool.  Slides need to be set to a 4:3 or 16:9 aspect ratio.  

If the aspect ratio of the PowerPoint slide deck is different than the Slides engagement tool, an alert message will appear (shown below).  You can launch the Console Builder to set the Slides tool to the correct aspect ratio.

Setup Window (Producers Only)

The Setup Window allows you to upload slides and video clips, set up polls, and URLs. It contains three tabs to control the configuration of the Media, Polls, and URLs in the presentation.

  • The Media tab allows you to upload PowerPoint slides and video clips and configure how video clips should be displayed during the webcast.
  • The Polls tab allows you to add a poll to your event.
  • The URLs tab allows you to create a link that you can push out to your participants.

You will need to make sure that the first slide uploaded into slot 1 is the slide you want to display first. If you wish to change out the first slide, simply add that initial slide to the first slide deck and re-upload.

Slides

You can upload up to 10 slide decks within the PMXD setup window. This is duplicate functionality to the Slides and Video Clips page in Webcast Elite. To upload slides in PMXD, go into the Media tab of the Setup window. Slides should be uploaded 24-48 hours prior to your live event.

A warning in Presentation Manager XD will appear when a slide deck has failed to upload due to a corrupted or unsupported PowerPoint file.

If your PowerPoint does not upload as expected, immediately submit a ticket for technical support and attach your slide deck to the case.

Please do not continue to attempt to upload your PowerPoint as this will exacerbate the issue and prolong the time it takes to reach a resolution.

For example, if your PowerPoint does not appear in the upload list (even though the thumbnail images in the Storyboard may be visible) that is a clear indication your PowerPoint did not upload correctly.

Video Clips

You can upload up to 20 video clips within the PMXD setup window. This is duplicate functionality to the Slides and Video Clips page in Webcast Elite.

To upload video clips in PMXD, go into the Media tab of the Setup window. Video clips should be uploaded 24-48 hours prior to your live event.
