Troubleshooting Tips

  1. Confirm all presenters are using a supported browser (Chrome, Firefox, or Edge) and are logged in from a desktop or laptop.  Presenting from a tablet or mobile device is not supported.
  2. Make sure ON24 has access to your microphone and camera within the browser - see an example.
  3. Try connecting off of a Virtual Private Network (VPN).  If the issue persists after troubleshooting, it is usually related to network configurations such as VPN or Firewalls. 
  4. All presenters should have a stable, high-speed internet connection.
  5. Refresh the page by pressing F5 (Command + R for Macs) or try another browser.  Refreshing the page will not end the webinar.
  6. Clear cache/cookies to optimize browser performance.
  7. Close all unused applications and browser tabs.  This is especially true of collaboration apps (Zoom, WebEx, Teams) because they will use all of the available Central Processing Unit (CPU) resources.
  8. Reboot the computer if time permits.

Known Issues (*Updated June 2021)

  • Important:  For Live Video & Audio (VPB) webinars, there is a known issue when the first presenter initiates the live day bridge using a phone, it introduces lip-sync issues for the other presenters. To prevent this, please check the first presenter to connect to the webinar is not using a phone line, but a webcam instead.  They may switch to a phone connection later if needed.
  • Someone on the presenting team (producer or presenter) must remain connected to the webinar by phone or webcam at all times.  Otherwise, the live stream will stop and re-start, resulting in two separate archives of the webinar.  
    • If you are running a longer webinar and would like to take a break in the middle of the presentation, presenters can mute their camera and audio during that time.  All presenters should maintain their connections during the break and make sure their computer doesn't go into sleep mode or restart itself.  Following these proactive measures will ensure the live stream isn't disrupted and the webinar converts to on-demand correctly.
  • Elite Studio is available and currently supports live webinars including Broadcast Video, Live Video and Audio (Screen Share), Live Audio (No Screen Share).  Recording Simu-live, Sim-2-live, and On-Demand Presentations will continue to use the existing workflow through Presentation Manager XD (PMXD).  
    • For Simu-live webinars, presenters will record in PMXD but will use Elite Studio to monitor the live webinar.  Webcast Elite will switch automatically from PMXD to Elite Studio 2 hours before the live event start time.  
      • Presenters can watch the webinar as it plays to the live audience and respond to questions in Elite Studio (text only) in real-time.  There is no dial-in number for the presenters to call into, but they can communicate with their fellow presenters using Team Chat.  Team Chat is only visible to the presenters.  Highlighting and centering the Engagement Tools will not be available.
    • For Sim-2-live webinars, presenters will record in PMXD but will use Elite Studio on the live webinar day.   Webcast Elite will switch automatically from PMXD to Elite Studio 2 hours before the live event start time.  
      • ​​​​​​​Presenters use the dial-in number provided in Elite Studio at any time and speak privately behind the scenes while the live audience is watching the presentation.  The audience will not hear the presenters until the rollover happens. Presenters can highlight and center the engagement tools both during the recorded and live portions of the webcast. 
  • Using a combination of Elite Studio and PMXD on a live webinar is not supported.   All presenters will need to use Elite Studio for the webinar to run successfully. 

System Requirements

It's essential that all presenters meet the minimum system requirements.  

Operating System

Windows 10 |  Latest version of Chrome, Edge, or Firefox

Mac 10.10+ | Latest version of Chrome or Firefox

(Chrome is preferred)

Browser Configuration

Must accept cookies and have JavaScript enabled

Connection

A stable, high-speed internet connection is required.

Connection Speed

1 Mbps/1,000 Kbps or faster

Launching Elite Studio

Each member of the presenting team can access Elite Studio using the Present URL.  In most contracts, a limit of up to 8 presenters is stated. This is the recommended number of total users (Producer/Presenter/Q&A) to access PMXD or Elite Studio for an event. Up to 10 users are supported. Note these numbers may be reduced in the future.

As a general best practice, close all unnecessary applications and clear your cache before logging into each event.  This will improve browser performance while ensuring all recent uploads and changes are visible.

If you do not have ON24 account access, the Present URL will need to be shared by someone who has an ON24 platform login.

First name, Last Name, and Email are required Different languages are supported and are available using the drop-down menu.

Presenter Roles

Presenters may log in as Producer, Presenter, or Q&A moderator.  If you are running a webinar by yourself, log in as a Producer so you can access all of the webcast features, including the start/stop buttons.

Choose a Connection

After logging into Elite Studio, a Control Panel will display. The Control Panel connects presenters to the webinar by Phone, Webcam/PC Mic, or Video Conferencing Unit (VCU). 

Each presenter will choose their own connection method (Ex:  Presenter A is phone only, Presenter B & C use webcams, Presenter D is mic only, etc.).

Important:  For Live Video & Audio (VPB) webinars, there is a known issue when the first presenter initiates the live day bridge using a phone, it introduces lip-sync issues for the other presenters. To prevent this, please be sure the first presenter to connect to the webinar is connecting by webcam instead of by phone

  • Note:  Connecting with a VCU is available as a product add-on.  Please reach out to your Account Manager for pricing.

If connecting by webcam or mic only, presenters can adjust their microphone volume using the slider bar.

A signal indicator will display the strength of your internet connection.  If a connection issue is detected, the system will provide troubleshooting steps.

media player tabs.png Once connected by webcam or mic, the Media Player will automatically open to the Presenter tab.  The Presenter tab provides a real-time display of you and your fellow presenters.
  • Switching to the Audience tab will display what the audience is seeing in the Media Player.
    • Note:  There will be a two-second delay in the Audience view.  Presenters can rest assured that during the live webinar, the audience will not notice a delay.  For them, the webinar will be in sync and appear in real-time.
  • You can use the Audience view if you are not connected to the presenter bridge and wish to follow along with the presentation.
  • Hovering over either view will show other features, such as changing the video layouts and turning on/off the presenter names.

 

Starting and Stopping the Webcast

Start Webcast

Elite Studio is always in practice mode when not in live mode.  Rehearsals can occur as far in advance and as often as needed.  To start a webinar, presenters will first need to join the webinar by dialing into the phone line, setting up a webcam, or using a PC microphone.

Fifteen minutes before the live start time, the Start Webcast button will appear, alerting presenters the audience console is open.  During this time, the audience will be viewing what is in the Live View window. We suggest pushing a title or opening slide for the audience to see while waiting for the webinar to begin.   

Presenters should avoid advancing slides during this time, as the audience will see the slides advancing. 

After pressing the Start Webcast button a confirmation window will appear. Clicking Start Webcast will connect the presenters to the live audience and start the webinar recording.  

The audience will not hear or see the presenters until Start Webcast is pressed

Stop Webcast

Once the webinar has reached its conclusion, click the Stop Webcast button.

Once Stop Webcast is clicked a confirmation window appears. Clicking End Webcast will disconnect the presenters from the live audience and stop the webinar recording.  

The webcast cannot be restarted once stopped.

Advancing Slides

The easiest way to advance slides and presentation elements (poll questions, video clips, etc.) during the webcast is through the Live View window.

On hover, slide navigation arrows will be shown.  All elements of the presentation can be shared with the audience by clicking the Next arrow.

A red live marker will be added to the thumbnail in the Storyboard when that element is displayed to the audience.

If pushing a poll question, you can view poll activity in real-time by hovering over the poll question.

Additionally, clicking on an element in the Storyboard will add a Push To Audience button and open a Preview. Click the Push To Audience button to move the element to the task window for the audience to see.

The best practice is to push the slides from the Live View window, however, if a presenter needs to skip over slides or revisit a topic, the Push to Audience button is ideal.

Whiteboarding Tools

Presenters can use the whiteboarding tools within Elite Studio to annotate their live presentations, making it easier to capture ideas and notes in real-time using the pen and pointer tools to draw on their slides.

Important:  The slide window on the audience console must be sized to a 16:9 aspect ratio for the annotations to display for attendees.

  • Pen: Utilize one of three colors and three sizes to draw.
  • Pointers: An arrow or orange dot will display for five seconds to focus the audience's attention.
  • Erase: Select and erase individual lines.
  • Clear: Clear all the lines and pointers at once.

 

Q&A

The Q&A tool in Elite Studio allows your presenting team to collaborate on audience questions during a live webcast. 

  • Pro Tip:  Presenters may sort the Q&A by Name to display the full conversation history with webinar attendees.

Presenter Control of Engagement Tools

Note:  The highlighting and centering of engagement tools are currently not supported for mobile viewers.  The centering functionality will be added in a future 2021 product release.

You can use the new Engagement Tools panel to draw viewers' attention to any of the engagement tools on the audience console.  To use this functionality, open the Engagement Tools window from the Menu.

All of the Engagement Tools added to the audience console will appear within the panel.  Click the engagement tool you wish to draw attention to and select Highlight or Center.  

The highlighting and centering behavior will carry over when the live webinar converts to on-demand.

Highlight

You can highlight any of the engagement tools within the audience console.  For example, if you want to draw viewer attention to Q&A, you can click Highlight next to Q&A.  

If the Q&A window is already open on an attendee's console, it will glow for approximately 10 seconds. If it is minimized, the icon in the menu dock will glow and bounce. 

The highlight color cannot be customized.

  • Note: You can highlight and center engagement tools during the recorded portion of a sim-2-live webinar, in addition to the live portion. This allows you to highlight or center engagement tools on the fly during any part of the sim-2-live webinar.

Center

Some engagement tools like the Survey and Resource List, have the additional option to be placed in the center of the console, bringing a higher level of attention.  Clicking on the Center link will center the tool in the console for the audience.

If the tool is minimized in the console dock, it will automatically open and be placed in the center.  If the tool is already open, it will be moved to the center.

When a tool is centered, the rest of the console will be dim for 10 seconds to focus your attendees' attention on the center of their screen. 

The Center functionality will be added to additional engagement tools in future releases.

Using Team Chat

The Team Chat allows presenters to chat with each other.  Messages may be sent to all presenters at once or privately to individuals.  Messages will not be visible to the audience, but they will appear in the Webcast Intelligence report.

Sending Messages

To send a chat message, type a message into the text entry section, and click the Send button or press the <Enter>.

Choosing Who to Chat With

The All Presenters section displays all the team members logged in for the webcast.

-  Clicking the All Presenters link (light blue) will send a message to all team members.

-  Clicking on an individual name will send a private chat to that person.

 

 Muting and Renaming Presenters

To access the Presenters window, navigate and select Presenter from the Menu available in the green Control Bar.

The Presenters window lists all presentation team members connected by phone, Webcam, or PC Mic.

Producers can edit the names, mute/unmute presenters, and disconnect them.

WARNING:  This mute/unmute feature will override the personal mute button available to all individual presenters in the Control Panel. presenters_window_02.png

Attendee List

Open the Attendee List from the Menu. Click Refresh to get an updated list of who is currently viewing your webcast. The number in the window header will indicate the number of attendees. 

The attendee list can be sorted by NameCompany, or Login Time by clicking on the column header. You can also block an attendee from viewing your webcast.

Are there any limitations on browser support?

The new version works on Google Chrome, Mozilla Firefox, and Microsoft Edge using HTML5, but it does not support Adobe Flash. 

How do I provide feedback?

After the webinar has ended, a Rate Your Experience button will appear in the bottom right corner.  Clicking will allow you to rate the audio/video quality and ease of use.  The feedback option is enabled by default.  Reach out to your CSM if you would like it disabled.
